Step 8: Create groups in the userlist
Each Halito site standard offers 4 dynamic mail groups (or multiplied by the amount of languages):
- Answered (this one you can use for the reminder mails)
- Not answered (this one you can use for the rappel mails)
- Show
- No show
You can also create your own mail groups. They can be dynamic, as are the standard groups.
Dynamic means that they are based on criteria. When the criteria change or the guests’s criteria change, this automatically influences the group.
When you import new guests into the guest list, they will first be in the group “Not answered.” Once the invitation has been sent and the guests start registering, they move from the dynamic group “Not answered” to “Answered”.
You can also add static mail groups, to take a sort of “screenhot” of your guestlist.
To add a mail group you can go to Guest list > Groups
- Click on Add
- Determine the name of the group and whether it should be static or dynamic
- Choose “Next”
- Determine the criteria guests need to answer to to be part of the group
- Click “Search”
- Next a message will appear:
- Is the message box orange? Then it will indicate how many guests already fit the criteria and it will show a button to add that number of people to the group.
- Is the message box red? Then it will indicate that there are no guests yet that fit the criteria, but with the button you can save the criteria anyway, so guests can later be added to the group automatically if they do fit the criteria.
Examples
- Create a group for sending an email to everybody from a certain Office
- Make sure you have a column in your excel file with the office (for example: all the different offices from Antwerp) and you've created a hidden field to save this office on the form
- Go to Guest list -> Groups and create a new DYNAMIC group
- The field ANSWERED should be NO
- The hidden field OFFICE should contain one name of the different offices (as it is written in the excel file)
- you should create a new group for every different office.
