Key considerations before event creation

1. Naming convention

Naming your event is a crucial step which will allow you to track your registrants on Salesforce. Event name is synchronized with the same naming convention as a child campaign on Salesforce.

Naming Convention Format:

<country code> <campaign code> <event description> <language>

For instance, if you’re planning an event in Belgium, the name could be formatted as: BE 24CD001 EOY Event NL

Remember, you can translate the event name in the communication tab, and the translated version will be used in emails and other event communications.


2. Parent campaign

After successfully synchronizing your event with Salesforce, you must assign a parent campaign to it. This crucial step ensures that incoming registrants are directed to the appropriate country lead queues.

To be able to add a parent campaign to the event child campaign:

đź”´ You need to change the Campaign Owner first.

🟢 Only a specific group of users are granted the necessary permissions to change the campaign owner on Salesforce. This permission is exclusive to InviteDesk campaigns.


3. Invitee List

The invitee list (contacts) will be automatically synchronized from the Event Salesforce child campaign to InviteDesk. Only contacts who have opted in for the event (Event preference = True) will be included.

Note that leads cannot be imported from salesforce to InviteDesk, and manual list uploads are restricted.


4. Email activation and RSVP timeframe

Finalizing Your Email: Important Steps

  • Activate Your Email: After finalizing your email, make sure to activate it. If not activated, emails will be saved as drafts.
  • Add RSVP Response Days: It’s crucial to specify the number of days for RSVP responses. If set to 0, invitees won’t be able to respond, and their status will be marked as “Expired”.
  • Targeting Expired Invitees: Expired invitees can be reached using the ad hoc “Write New Email” template.


5. Editor - copy paste

When pasting text into the editor, avoid using pre-formatted content. Always paste as plain text first, then use the editor’s formatting options to style your content.


6. Email attachment

Avoid using email attachments as they can negatively affect our DNS email configuration. This increases the likelihood of our emails being marked as spam.
